How to set a sell limit on item options and items

If you would like to set a sell limit on your item options (e.g., drink flavours or uniform sizes), you can do this on the new Options page in your Supplier Portal. 

Accessing the Options page

1.  Log in to your Supplier Portal. 
2. Click 'Items' and select the relevant service category i.e food, events or shop.
3. On the Items Summary page, access the new options page using one of these               methods:

  • 1. Click the kebab menu (the three dots) next to an item and select "Modify Item Options".

  • 2. Or you can also click into the item name and find the "Editing Options has moved" blue box in the options section.
When you select the updated editing area, either via the “Editing options has moved” link or by choosing “Modify Item Options” from the three‑dot menu on the Items page, you’ll be taken to a more detailed options management page.

This new interface allows you to manage Quantity Sell Limits (QSL) and stock settings for each individual option you’ve created. E.g. you can limit BBQ Sauce to 5 units but allow unlimited purchases for Spicy Sauce.


To adjust these settings, simply click the arrow to the left of the option name to expand its details. Within this dropdown panel, you can toggle the QSL on or off, enter your limit, choose whether it applies per service time or as a total across all services, these changes are automatically saved.
  • Per service time: this limits the number of item options available for each service time. For example, if you set a limit of 10, a maximum of 10 chocolate milks can be ordered at lunch, and 10 at recess.
    Total: this is the number available to be ordered across all services. For example, if you set a limit of 10, if 4 chocolate milks are sold at lunch, only 6 more can be sold. Once the remaining 6 are sold, this option will be out of stock until the limit is updated. 

These controls must be managed through this new options page, as they do not appear on the original item screen.

 


Setting a quantity sell limit on an item

1. Click the arrow next to the item name OR the QSL label (highlighted below) to open additional option settings.

2. Click the 'Active' toggle to enable the sell limit feature.

3. Enter your limit and choose whether you'd like to set a 'Per service time' limit or a 'Total' limit.  

  • Per service time: this limits the number of item options available for each service time. For example, if you set a limit of 10, a maximum of 10 chocolate milks can be ordered at lunch, and 10 at recess.
    Total: this is the number available to be ordered across all services. For example, if you set a limit of 10, if 4 chocolate milks are sold at lunch, only 6 more can be sold. Once the remaining 6 are sold, this option will be out of stock until the limit is updated. 

4. Click 'Save' to confirm your changes!
