Why does FlexiPOS use Stripe for Tap to Pay?
Stripe powers the card payment processing behind FlexiPOS Tap to Pay. To accept payments on your behalf, Flexischools uses Stripe's Connected Accounts feature this allows us to route card payments to your business and manage payouts securely.
What is a Stripe Connected Account?
A Stripe Connected Account is an internal payment profile created under the FlexiSchools Stripe platform. It is not a standalone Stripe account for your business it exists solely to enable Flexischools to process payments on your behalf and pay funds out to your nominated bank account. Even if your business already has its own Stripe account, a separate Connected Account is required.
The Onboarding Process
Who needs to complete the onboarding form?
The form must be completed by a director or owner of the business. Stripe verifies the identity of the person completing the form against the business registration, so it cannot be filled in by an operations or canteen manager who doesn't hold a formal role in the organisation. If you're unsure who should complete it, contact your Flexischools account manager.
What information will I need to provide?
The exact steps vary depending on your business type (for example, a company, non-profit, sole trader, or government entity), but you will generally need:
- Your business ABN
- Your bank account details for payouts
- A government-issued photo ID for the director or owner completing the form
- Details of any beneficial owners with 25% or more ownership of the business (for companies)
How long does it take?
Most suppliers complete the form in around 10–15 minutes. In some cases, Stripe may request additional documentation after submission if this happens, you'll receive an email from Stripe directly with instructions.
My onboarding link has expired. What should I do?
Onboarding links expire after a set period. Contact your Flexischools account manager and they will generate a new link for you.
Multiple Suppliers & Venues
I manage multiple suppliers or schools. Do I need to complete a separate form for each one?
Yes, a separate onboarding form is required for each supplier. This ensures that payouts are correctly attributed to the right bank account for each business. Your Flexischools account manager will send you a unique onboarding link for each supplier.
Payouts
What is a payout?
A payout is the transfer of funds from a connected account to the business's general bank account. Since Stripe provides merchant account functionality to their users, they issue payouts to the businesses.
How do I set my payout schedule?
During your onboarding you will be asked to set up your payout schedule. In most countries, Stripe defaults to an automatic daily payout schedule, but you can change this setting in the Dashboard to any of the following payout schedules:
- Daily automatic
- Weekly automatic
- Monthly automatic
- Manual
Weekly and monthly automatic payout schedules allow you to choose which day of the week or month you want the payouts to be initiated. You can initiate manual payouts at any time.
Existing Stripe Accounts
I already have Stripe set up for my business. Can I use that instead?
No a new Connected Account must be created under the Flexischools Stripe platform specifically for your FlexiPOS setup. This is an internal profile used by Flexischools to enable payment processing and payouts on your behalf. It is separate from any existing Stripe account your business may have and does not affect it in any way.
Security & Compliance
Is my information secure?
Yes. Stripe is a PCI DSS Level 1 certified payment processor the highest level of certification available. All identity and banking information you submit through the onboarding form is handled and stored by Stripe in accordance with their security standards. Flexischools does not store your card or banking details.
Why does Stripe need my personal identity documents?
Stripe is required by financial regulations to verify the identity of individuals associated with businesses that process payments. This is a standard Know Your Customer (KYC) requirement and applies to all Stripe Connected Account holders, not just Flexischools suppliers.
