Adjust stock levels
Correct your stock on hand after a delivery, stocktake, breakage or loss
When your real stock count and the number in the Shop don't match, adjust it on the Inventory page. Each adjustment is saved with a reason and appears in the Audit trail.
Before you start
- You need the Shop Manager role.
- The item must be on the Inventory page. See View and search your inventory.
- Adjusting changes On hand. It doesn't change Committed, which is stock already promised to orders.
Adjust one item
- Open Fulfilment › Inventory.
- Choose Adjust on the item's row. The Adjust stock on hand dialog opens with that item listed.
- Pick how you want to enter the change:
- Adjust by: type how many to add or remove. Use a minus for removal, for example -2 or 12.
- Set new total: type the total you counted, for example 100.
- Check the Current, Adjustment and New total columns. The one you didn't type fills in for you.
- In Reason for adjustment, choose one:
- Stock received: a delivery arrived.
- Correction: you're fixing a wrong number.
- Stocktake: you've counted the shelves.
- Damage: items are damaged.
- Theft/loss: items are missing.
- Optionally add Notes, for example "Full stocktake for autumn range, 11 July." The note shows on the Audit trail when someone hovers the reason.
- Choose Confirm N adjustments.
The change applies straight away. The Inventory table updates.
Adjust several items at once
- Tick the rows you want on the Inventory page.
- In the bar that appears, choose Adjust stock.
- To add more items, choose + Add another item and search by product, variant or SKU. Items already in the list aren't offered again.
- Select × on a line to remove it.
- Choose the mode, enter each change, pick one reason and confirm.
One reason and one note apply to every item in the dialog. For different reasons, do separate adjustments. After a multi-item adjustment, your ticks are cleared.
What stops you confirming
The Confirm button stays disabled until:
- you've chosen a Reason for adjustment (a required field, marked with an asterisk);
- in Adjust by, no line has an adjustment of 0 ("Adjustment must be a non-zero number");
- no line would end below zero ("New total cannot be below 0").
Good to know
- Adjusting is how you set stock after a product is published. You enter the starting count on the product page, but once the product is published that field is locked. See Track stock and allow preorders.
- Adjustments don't release orders waiting on stock. Do that from Orders. See Manage orders waiting on stock or on hold.
- A negative number on the Inventory page shows as Reconcile. Count the shelf and use Set new total with the reason Correction or Stocktake to put it right.
- Every adjustment is logged with your email and the time, and can't be edited later.
