View and search your inventory
See what's on hand, what's promised to orders and what's left to sell
The Inventory page shows the stock level of every item you track. Use it to spot items running low, check what's promised to open orders, and jump to a product to fix it.
Before you start
- Open Fulfilment › Inventory in the Store Portal.
- Items only appear here when the product is Published and Track inventory is on. See Track stock and allow preorders.
- Each variant of a multi-variant product has its own row. A product without variants shows a dash in Variant.
Read the table
| Column | What it means |
|---|---|
| Product | The product name, with its image. Click it to open the product. Use the back link to return to Inventory. |
| Variant | The size, colour or other option combination. |
| SKU | The variant's stock code. |
| On hand | Physical stock currently in the store. |
| Committed | Already promised to an order, not yet fulfilled. |
| Available | On hand minus Committed: what's actually left to sell. |
On hand drops when an order is handed over, not when it's paid. Committed covers items in paid orders that haven't been handed over yet.
Available and stock status
The Available number also tells you the item's status:
- A plain number: In stock.
- Low stock · N: Available is above 0 but at or below the Low stock alert at number you set on the product.
- Out of stock · 0: nothing left to sell.
- Preorder · N: the product allows preorders. It keeps selling online at zero. N never drops below 0.
- Reconcile · N (warning icon): Available is below zero. More was sold than the system thought you had, usually from a FlexiPOS order. Count the shelf and adjust the stock to match.
Search, filter and sort
- Type in Search by product, variant or SKU.
- Open the status menu and tick the statuses to show: In stock, Low stock, Out of stock, Preorder, Needs reconciliation. The button reads All statuses, the status name, or "N statuses". Reset to default ticks them all again.
- Open Columns to show or hide SKU and Committed.
- Click Product, On hand, Committed or Available to sort. Click again to reverse.
- Use Rows per page (10, 25 or 50) under the table.
If nothing matches, choose Clear filters.
To refresh the numbers, choose Sync.
Next steps from this page
- Click Adjust on a row to correct that item's stock.
- Tick several rows to adjust or export them together using the bar that appears: Adjust stock or Export selected.
- Use Export view to download the list. See Export inventory for a stock take.
Good to know
- Stock figures count whole items. Bundles don't have their own row. Their stock comes from the items inside them.
- To see why a number changed, use the Audit trail.
- Only Shop Managers can adjust stock.
Troubleshooting
A product isn't on the Inventory page. Check that it's Published, that Track inventory is on, and that it isn't a bundle. Draft and archived products don't appear.
