Create and manage collections
Group products into collections, choose where and to whom they show, and switch them on or off
A collection is a group of products on your storefront, such as "Winter uniform" or "Sports". Customers find products through collections. A product that isn't in an active collection can't be found, even if it's published.
Before you start
- Open Catalogue › Store Front in the Store Portal. The page is titled Storefront.
- You need the Shop Manager role to create or change collections.
- Publish your products first. Only published products show to customers.
Create a collection
- Choose New collection.
- Enter a Collection name, for example "Winter uniform".
- Leave Active on to make it live. Turn it off to save it as a hidden collection.
- Under Where this shows, choose POS + Online, POS only or Online only.
- To limit it by year level, turn on Limit by year level and tick the year levels. If none appear, you'll see "No year levels configured for this site."
- Read the preview boxes at the bottom. They sum up where shoppers can see the collection.
- Choose Create collection.
If Active is off, Where this shows and Limit by year level are greyed out and the preview says "Hidden from shoppers".
Read the Store Front page
There are three tabs, each with a count:
- Available collections: active collections, in the order shoppers see them. The first is marked Shown first.
- Unavailable collections: inactive collections, marked Inactive.
- Hidden products: products shoppers can't find because they're in no collection, or only in inactive ones.
Each row shows the collection name, how many products it holds, where it shows and its year levels (or All years). A collection with nothing in it shows No products. Use Search by collection or product name to find one, and Expand all or Collapse all to open every collection's product list.
Change a collection
Open the ⋮ menu on a collection row.
- Edit collection: change any setting, then choose Save changes.
- Duplicate: creates "Copy of …" with the same settings and products. The copy always starts Inactive, so you can check it before turning it on.
- Deactivate: hides the collection and any of its products that have no other active collection. Activate brings it back.
- Remove collection: the dialog tells you how many products will become hidden and how many stay visible through other collections. Products are not deleted.
Where and to whom a collection shows
- Online only collections don't appear in FlexiPOS. POS only collections don't appear in the parent app.
- Limit by year level applies to online shopping. Parents see the collection only for children in the year levels you ticked.
- FlexiPOS shows year-limited collections for every year level. The preview may say "Available in POS for" a year level. Treat the year-level limit as online only.
Good to know
- A product can be in several collections. It shows as long as one of them is active.
- Archived and draft products never show to customers, even if they're in a collection.
- To fill a collection and set its order, see Add and reorder products in a collection.
Troubleshooting
A published product doesn't show in the shop. Check the Hidden products tab. If it's there, add it to an active collection. Also check the collection's Where this shows and year levels.
