Manage your product list
Search, filter, bulk edit, archive and export everything in your Shop catalogue
The Products page lists everything in your catalogue. Use it to find a product, change its status, update prices for many products at once and export the list.
Before you start
- Open Catalogue › Products in the Store Portal.
- You need the Shop Manager role to publish, archive, delete or reprice products. See Store Portal roles and access.
Find the products you want
- Use the status tabs (All, Published, Draft, Archived). Each tab shows how many products it holds.
- Type in Search by name or collection. Matches on the product name or any collection it's in.
- Open the type menu and choose All types, Standard, Multi-variant or Bundles.
- Click a column heading (Product, Status, Collections or Price) to sort. Click again to reverse the order.
- Use Columns to show or hide Status, Type, Collections, Price and Inventory. Reset to default brings them all back.
- Use Rows per page (10, 25 or 50) and the page buttons under the list.
In the Collections column, hover the number to see collection names. Archived products show a dash. In the Inventory column, a product reads Not tracked, Tracked or Tracked, preorder. Bundles show a dash because their stock comes from the items inside them.
Tip: A product name with a dotted underline and a crossed-out eye is not visible to shoppers. Hover it to see why, for example "Not in a collection" or that its collection is inactive. See Product status and visibility.
Change one product
Click a product name to open it. For other actions, open the ⋮ menu on its row. The menu depends on the product's status.
| Status | Actions |
|---|---|
| Published | Edit product, Duplicate, Archive |
| Draft | Edit product, Duplicate, Publish, Delete draft |
| Archived | View product, Duplicate, Restore to draft |
- Archive takes the product off your storefront. You can restore it to Draft any time, then publish it again.
- Publish asks you to confirm. If the product isn't in an active collection, you'll see Publish without a collection? because customers won't find it. Choose Publish anyway or cancel and add it to a collection first.
- Delete draft is permanent. Only Draft products can be deleted.
- Duplicate creates a new Draft called "Copy of …". See Duplicate a product.
Change many products at once
- Tick the checkbox on each product. Tick the box in the header to select every product on the page. Your selection stays when you change page, filter or sort.
- A bar shows how many products are selected. Choose an action:
- Add to collection opens a picker. Tick one or more collections and choose Add to … collection(s).
- Edit prices (see below).
- Archive appears only if every selected product is Published.
- Restore appears only if every selected product is Archived.
- Delete appears only if every selected product is Draft.
- Confirm. A message tells you how many products changed. Products that were already in the wrong status are skipped.
Select × on the bar to clear the selection.
Edit prices in bulk
- Select the products, then choose Edit prices.
- In Price change, pick Increase price by $, Decrease price by $, Increase price by %, Decrease price by % or Set new price.
- Enter the Amount. The preview table shows Current and New prices, with changed prices in green. Multi-variant products show one line per variant.
- Choose Apply to N products.
Prices never go below $0.00. For a bundle, the bundle price changes. Cost isn't changed. Archived products are skipped.
Export the list
- Choose Export view. The menu shows how many items will be exported.
- Pick Excel or CSV.
With no products selected, the export covers every product that matches your current tab, type and search, not just the current page. With products selected, only those are exported. The file has the same columns you've chosen to show, and is named from your filters, such as products_published.csv or products_selected.xlsx.
Good to know
- A product can be sold at $0.00. Bulk Set new price accepts 0.
- Archived rows are greyed out and can't be edited, only viewed.
- If the page can't load, choose the retry button on the error message.
