Manage pickup locations

Add, edit, deactivate or restrict the places parents can collect orders from

Pickup locations are the places a packed order is handed over, such as the uniform shop counter, the office or a classroom delivery round. Parents choose one at checkout.

Before you start

  • You need the Shop Manager role.
  • Go to Settings › Online ordering and open the Pickup tab.
  • Your shop needs at least one location before families can order. Until then the tab shows Families can't order yet.

Add a pickup location

  1. On the Pickup tab, select Add location.
  2. Leave Active on if you want families to see the location straight away.
  3. Enter a Location name, for example "Uniform shop counter". This is required.
  4. In How to find it, tell families where to go, for example "Building C, next to the canteen".
  5. Under Days available, tick each day you hand orders over. For each ticked day, set a start time and an end time. Days you leave unticked show as Closed.
  6. Optional: turn on Limit by year level and select the year levels that can use this location (see below).
  7. Check the blue summary at the bottom of the dialog. It shows what families will read, such as "Collect Monday and Wednesday, 8:30 am to 9:30 am, once the order is packed."
  8. Select Save changes.

Edit, deactivate or delete a location

  • Edit: select Edit on the location's row, change what you need, then select Save changes.
  • Deactivate: open the location and turn Active off. The label changes to "Hidden at checkout". Families no longer see it, but you keep its settings. The other fields are greyed out until you turn Active back on.
  • Delete: open the location and select Delete, then Delete location to confirm. This can't be undone. You can't delete your only location. The dialog tells you to add another one first.

Limit a location to certain year levels

Use this for locations that only suit some students, such as a classroom delivery round for junior years.

  1. In the location, turn on Limit by year level.
  2. Select the year levels that can use it.

The row on your list shows the selected year levels in a purple tag. At checkout, a child outside those year levels sees the location greyed out with a label such as "Year 1, Year 2 only", and can't select it.

Important: If you turn on Limit by year level but don't select any year level, the location stays open to every year level.

What parents see

For each active location, parents see its name, the "How to find it" text and a summary of collection days and times, such as "Mon and Wed 8:30 am – 9:30 am".

Good to know

  • Collection days and times are information only. They don't change the date you promise. That comes from your packing days and closures. See Set packing days and cut-off times.
  • Make sure at least one location stays Active. If every location is inactive, families have nowhere to collect from.
  • Times use your browser's time picker, so they may display as 12-hour or 24-hour.
  • Once an order is packed, you hand it over from the Orders page. See Hand over orders and send pickup reminders.
