Pack orders and notify parents
Print order receipts, pick items, then mark orders as packed from the To pack tab
The To pack tab lists every order with items ready to pack. Use it to print order receipts, pick the items and mark orders as packed. For pickup orders, marking an order as packed also emails the parent that it is ready to collect.
Before you start
- Open Orders › To pack. A badge shows how many orders need packing.
- Your order fulfilment flow decides what happens after you mark an order packed. See Choose your order fulfilment flow.
- The Pack by date for each order comes from your packing days and cut-off time. See Set packing days and cut-off time.
Find the orders you want
- Type in the search box (Search by name or order) to find an order by student name, email or order number.
- Use the locations drop-down (it starts as All locations) to show only some pickup locations or home delivery. Select Reset to default to clear it.
- Choose By order (one row per order) or By item (one row per product, with Qty, Orders and On hand). By item is a read-only tally that helps you pick stock for the whole queue.
In By order, orders past their pack-by date show Overdue in the Pack by column and sit at the top. The Printed column shows Printed or Not printed, and Rest of order shows whether any other items on the order are waiting.
Print order receipts
- Tick the orders to print. If you tick none, Print applies to every order currently shown.
- Select Print, then Order receipt.
- Your browser's print preview opens with one receipt per order.
After the receipts are generated, those orders show Printed.
Tip: Select Export view (or Export on a selection), then Excel or CSV, for a pick sheet. Each order has an Items column listing its items, each starting with
[ ]so you can tick them off on paper.
Mark orders as packed
- Tick one or more orders, then select Mark N packed and notify in the bar at the bottom. To pack a single order, select Packed at the end of its row instead.
- Read the confirmation, then select Mark packed.
A message confirms how many orders were packed. If some could not be marked, it says how many.
What happens next
- 3-step flow, pickup order: the order moves to Packed and the parent gets a "ready to collect" email naming the pickup location and its opening hours.
- 3-step flow, home delivery order: the order moves to Packed and the parent is not emailed yet. They are emailed when you mark it posted. See Hand over orders and send pickup reminders.
- 2-step flow, pickup order: the order closes straight away and the parent gets the "ready to collect" email. This can't be undone.
- 2-step flow, home delivery order: the order closes straight away and the parent is emailed that it is on its way. This can't be undone.
- If an order has items waiting on stock, only the items in To pack are packed. The waiting items stay in Waiting.
Good to know
- To pack a single order from its own page, open it and select Pack all N and notify (pickup) or Pack all N (delivery) in its To pack section.
- On the 3-step flow, marking an order packed does not reduce stock on hand. Stock on hand drops when the order is handed over or posted.
- Made a mistake on the 3-step flow? Move the order back from Packed. See Hand over orders and send pickup reminders.
- To see exactly what the parent receives, read Emails sent to parents.
