Print and email receipts in FlexiPOS
Set up the receipt printer, print a customer receipt, and email one to the customer
FlexiPOS can print a paper receipt after an order, and it can email a receipt to the customer. This article covers both.
Before you start
- Print from a supported receipt printer: an Epson printer connected over the network or Bluetooth, or the built-in printer on an iMin terminal.
- Printing is set up per tablet in Settings › Receipt Printing, and the email address screen is set up in Settings › Shop Settings. To open Settings, tap the menu button at the top left, then Settings.
Set up the receipt printer
- Open Settings › Receipt Printing.
- Under Printer preference, choose when receipts print:
- Never: no receipt and no Print receipt button.
- Prompt: a Print receipt button appears after each order.
- Always: the receipt prints by itself when the order completes.
- If you chose Prompt or Always, tap Setup Printer and follow the steps to find and connect your printer. iMin terminals don't need this step.
- Check the status under Printer preference says connected.
A tablet that has never been set up behaves as Never.
Print a receipt
- Complete the order. The completed screen shows the Sale total, any Change, and the Receipt number.
- Tap Print receipt. Under Always it prints on its own and the screen says Printing receipt….
- Tap Done.
Print before you tap Done. FlexiPOS prints from the completed screen.
If a receipt doesn't print you see Printer timeout, please check printer connection and try again. Check the printer, then tap Print receipt again. Under Always the button comes back after a failed print.
What the receipt shows
The receipt is built on the tablet from the order you just made.
- Your shop name, ABN and phone number, the date and time, the Order number, and the POS Login of the person who took the order.
- A heading of Tax Invoice / Receipt, then each item with its quantity and price. Sizes and options sit under the item, with add-ons and the contents of any bundle.
- A * before items that include tax.
- Order fee on a student card order, or Rounding on a cash order, so the figures add up.
- Total, the tax line (for example *GST), then for cash Tendered Cash and Change.
- Tender Type, and for EFTPOS the Transaction ID.
- Collect from and the location, for orders that include a preorder item.
The cash drawer opens after the receipt prints. If the tax for any item can't be read, the receipt prints with the heading Receipt and no tax line rather than guessing.
Email a receipt to the customer
If a student isn't attached to the order, FlexiPOS can ask for an email address before payment, depending on the Email receipt preference under Settings › Shop Settings (Always, Prompt or Never). Enter the address and tap Continue, or tap Skip when the screen allows it. The full steps are in attach a student or guest to an order.
The receipt is emailed to that address when the order completes, and the completed screen confirms it with Receipt sent to and the address. For a student card order, the receipt goes to the parent's email on file. The address is also saved with the order. You can find the order later by typing the email into the search box on the All tab of Orders. If the email belongs to a parent's Flexischools account, the order also appears in that parent's order history.
Good to know
- Printing a receipt doesn't change the order. The order is already complete when the receipt option appears.
- The printer setting and the email setting apply to the tablet you change them on, not the whole shop.
- Student card orders use the parent's email on file, so they never ask for one.
Troubleshooting
There's no Print receipt button. Your printer preference is Never or Always. Open Settings › Receipt Printing to check.
Nothing prints and there's no error. Confirm Printer preference isn't Never, and that the printer status shows connected.
