Take payment for a FlexiPOS order

Charge a student card, take EFTPOS, or take cash and give change

When the cart is ready, take payment with the buttons under the Total: Student Card, EFTPOS, Cash and, if your shop has set any up, Other tenders. An order uses one payment method; you can't split it across two.

Before you start

  • The payment buttons are greyed out until there is at least one item in the cart.
  • Cash, EFTPOS and Other tenders only show if they're switched on under Settings › Payments. Other tenders needs at least one of your own tenders added and switched on. See configure POS payment and receipt settings.
  • For EFTPOS, connect a card reader in Settings.
  • Keep the tablet online. FlexiPOS can't complete Shop orders offline.

Depending on the cart and your settings you may first see Preorder pickup location and the email receipt screen. See stock warnings and preorders and attach a student or guest.

Take a student card payment

  1. Tap Student Card.
  2. If no student is attached yet, scan the card or search for the student in the Scan Student Card window. An attached student is used straight away.
  3. Check Student, Available balance and Sale total in the Student Card window.
  4. Tap Charge.

The money comes from the parent's balance, the student's daily spend limit applies, and the order is recorded against the student. A student card order can include an order fee, which is added to the total.

If the balance looks too low you see The balance on the card looks too low for this sale, but you can still tap Charge. If the payment is declined, the window shows Order total, Balance remaining and, where it's the reason, Daily limit left. Take another payment method or reduce the cart. A student with no card on file shows This student has no card on file, so they cannot be charged.

Take an EFTPOS payment

  1. Tap EFTPOS.
  2. When the screen says Present card, ask the customer to tap, insert or swipe their card.
  3. Wait for Approving payment. Don't let them remove the card until it finishes.

If you see No card reader is connected. Connect one in Settings., cancel, connect the reader in Settings, and start the payment again. If the card is declined, the screen says Payment failed with the reason; tap Try again.

If the card is charged but the order can't be completed, the screen shows Order not completed. FlexiPOS refunds the card automatically when the order is definitely rejected, and says The card payment has been refunded. If it can't, follow the message on screen and refund the order from Orders before the customer leaves.

Take a cash payment

  1. Tap Cash. The amount box starts at the order total, so if the customer hands over the exact amount, just tap Continue.
  2. Otherwise tap a note button ($30, $50, $100 or $200) or key in the amount. Digits are entered as cents, so 1, 2, 3 reads as $1.23. Clear and the backspace key correct mistakes.
  3. Check Change in the grey summary. Tap Continue once the amount covers the total.
  4. Hand over the change shown on the Cash Sale completed screen.

Cash totals and change are rounded to the nearest 5 cents, with a rounding line on the receipt. The amount must be in 5 cent steps, not below the total, and no more than $9999.95.

Take an Other tender payment

Use this for a payment method your shop has added itself, such as a voucher.

  1. Tap Other tenders. If you have more than one, the Choose tender window opens. Tap the one the customer is using.
  2. A window titled with the tender's name shows the order total. There's nothing to key in.
  3. Tap Confirm. The button reads Creating order... while the order is recorded.

If something goes wrong the window shows a message. Tap Retry to try again, or Close to leave without selling. The receipt shows the tender's own name as the Tender Type.

Ring up a $0 order

A cart with a total of $0, such as a free item, can be completed with Cash.

  1. Tap Cash. Continue is ready straight away.
  2. Tap Continue without keying anything. The receipt shows $0.00 total, $0.00 tendered and no change.

If you key an amount, Continue is disabled because no cash is due. Tap Clear. EFTPOS can't take a $0 payment.

After the order

A Creating order... message shows while the order is recorded, then a completed screen shows Sale total, any Change, and the Receipt number. Tap Done to clear the cart. See FlexiPOS receipts to print one.

Troubleshooting

A message says to check order history. The payment or order may already have been recorded. Don't take the payment again. Open Orders and look for the order first.

It says "The sale did not go through and nothing was charged. Try again." Tap Retry.

I took a payment by mistake. See refund or cancel a FlexiPOS order.
